CRM inside a Telegram bot: not losing leads
Not every business needs a full CRM with licences and staff training. Sometimes a simple request system built into the bot is enough.
What a mini-CRM inside a bot is
It is not a replacement for a full CRM but a built-in panel listing requests, their statuses and the responsible manager, reachable straight from Telegram with no separate login or app.
Each request is stored as a card: contact, request, timestamp, status, manager notes. Nothing lives only in chat, so a request cannot physically get lost in the message flow.
Who this is enough for
Small businesses with one or two managers handling 10–30 requests a day, where a full CRM's licensing and setup cost would not be justified by volume.
Services where a deal closes fast — an order, a booking, a consultation — rather than dragging on for weeks with many touchpoints, which is better handled in a specialised CRM.
When a full CRM is needed
With more than five managers, per-person reporting, a multi-stage sales funnel and accounting integration, a built-in mini-CRM will not cover it — you need Bitrix24, amoCRM or similar.
In that case the bot becomes a lead source rather than a workspace: it passes data to the CRM automatically, and all client work happens there.
Not losing requests either way
A request must hit the database the moment it is created, not just appear in chat, so a notification failure never means lost data.
Set a reminder for managers if a request sits unhandled past a set time, say 30 minutes. This one rule closes most cases where a customer wrote and got no answer.
